Who we are
Armed Forces SlugFest ("we", "us"), run by Frederick Elite, operates this website at armedforcesslugfest.com and zombieslugfest.com. The Zombie Apocalypse SlugFest is our October event and shares the same site and database. The site is built and operated for us by Always Competing Sports LLC, doing business as Mainline Web Design, which handles information only on our instructions and only to run this site. Questions about this policy go to FrederickElite@yahoo.com.
What we collect
When you register a team, pay, or contact us, you give us the information needed to run the tournament: the team name and city, the manager's name, email address and cell number, any additional team email addresses, the age group and bracket, player and coach counts, and the details asked for on the form.
Team rosters, including player names and dates of birth for age verification, are entered by the team's manager or coach using the team code from the registration email. A roster is seen only by that team's manager and by the tournament director. We do not knowingly collect information directly from children under 13. If you believe a child has submitted information to us directly, email FrederickElite@yahoo.com and we will delete it.
When you pay online, your card details go directly to Stripe, our payment processor. We never see or store your full card number. We keep a record of the payment itself: who paid, what for, how much, and when.
Like most websites, our hosting provider keeps standard server logs: the address your device connects from, the browser you use, and the pages you open. We use these to keep the site running and secure.
How we use it
- To run the tournament: schedules, standings, brackets, results, rosters, and the communication that goes with them.
- To collect and record entry fees and other payments.
- To email you about the event you registered for, including your registration confirmation, payment receipts, schedule changes, and weather calls. These emails go out through SendGrid.
- To text you about your team's games and scores, but only if you opted in. Texts go out through Twilio. Reply STOP to any text to opt out. Message and data rates may apply. When you text a score to our number, we keep the text and your number so the score can be posted and your questions answered. The text program has its own Text Program Privacy Policy and Text Program Terms.
- To answer questions you send us.
- To keep the site secure and working.
We do not sell your information. We do not share it with advertisers, and we do not use it to target ads.
What is public on the site
Schedules, scores, standings, brackets, and team names are public, because that is what the site is for. The registered teams list shows each team's name, city, age group and bracket, and whether its entry is paid. Manager names, email addresses and phone numbers are never shown on the public site. Player names and rosters are not published.
Games and events are public, and we publish team and champion photos on the site. A parent or guardian who does not want a player shown can tell us in writing and we will take the photo down.
Cookies and analytics
The site uses a small number of essential cookies and browser storage to keep the tournament director signed in, to remember a team code, and to hold a copy of the schedule and scores so pages load quickly. Without them, sign-in does not work.
Stripe sets its own cookies during checkout to prevent fraud. Those are governed by Stripe's privacy policy.
We use Vercel Web Analytics to count visits. It does not set cookies and does not identify you personally. The site also keeps a simple running count of visits in our database. It stores nothing about you.
We do not use advertising cookies or tracking pixels.
Who handles data for us
These companies process information on our behalf, each under its own privacy policy: Vercel (hosting), Google Firebase (database and sign-in), Stripe (payments), SendGrid (email), Twilio (text messages), and Mainline Web Design (building and operating the site). We may also share information when the law requires it.
How long we keep it
Season records such as schedules, results, standings, and champions are kept as the tournament's history. Registration contact details are kept while a team is active and for two seasons afterward so returning teams do not have to start over. Rosters are kept for the season they were entered for. Payment records are kept as long as tax and accounting rules require.
Your choices
- Email FrederickElite@yahoo.com to see, correct, or delete the information we hold about you or your player. We answer within 30 days.
- Every email we send has an unsubscribe link.
- Reply STOP to any text to stop texts.
- California residents can ask what personal information we hold, ask for it to be deleted, and will not be treated differently for asking.
Security
The site runs over HTTPS. Registration, roster and payment records are available only to the tournament director and to Mainline Web Design as our vendor, each through their own login, and a team's roster to that team's manager with the team code. No system is perfectly secure, and we cannot promise that, but we take reasonable care.
Changes
If this policy changes, the new version is posted here with a new date at the top.
